Printing Daily Calendars on Standard Paper in Quiltt

Step-by-step guide for printing multiple daily calendars at one time.

Many communities print their daily calendars on standard paper sizes (Letter, Legal, or Tabloid) straight from Quiltt, rather than making 4×6 cards. This article covers that approach.

You set up how a single day should look first, then generate every day of the month at once — you never have to print one day at a time.


Part 1 — Set up the daily calendar look

1. Open the Events module. From the left-hand menu, click Events. This opens the All Events calendar view.

2. Switch to a single day. On the top-right toolbar, click Day. Use the arrow buttons (‹ ›) or Today to land on a day that has typical events on it. This is just your preview day for getting the settings right.

3. Open the print dialog. Click the Print button (top-right). The Print calendar window opens with a live preview on the left and all your options on the right.

4. Choose your paper size and settings. Set the options on the right. The key choice is the paper size — pick whichever your community prints on:

  • Select paper: Letter (8.5×11″), Legal (8.5×14″), or Tabloid (11×17″). Tabloid gives the largest, most readable page.

  • Select orientation: Landscape (or Portrait if that suits your posting spot better).

  • Select font size: 10 or larger for easy reading; bump it up for Legal/Tabloid so text fills the bigger page.

  • Select theme: Flag – large, or a seasonal theme — pick whatever suits the month.

Then set the checkboxes. Checked = ON. A good starting set:

  • Hide event description: ON — keeps the page clean

  • Hide location: ON

  • Hide event type: ON

  • Hide end time: ON — shows just the start time (e.g. 10:00 AM)

  • Expand to fill page: ON — stretches the day's events to fill the sheet

  • Show birthdays: Optional — turn ON to include resident birthdays (see tip below)

  • Shorten event titles: OFF (unless titles are running too long)

  • Add custom text / Include menu: OFF, unless you want a footer note or the day's menu on the page

Tip: If you turn on Show birthdays, a Select levels of care dropdown appears. Pick the care level(s) whose birthdays you want on the page — e.g. Memory Care. Only birthdays for the selected care levels will be displayed.

Watch the preview pane update as you change settings. When a single day looks right on your chosen paper size, you have your template.

5. Click Cancel. Once the look is dialed in, click Cancel. This is intentional — Quiltt remembers your settings. You are not printing a single day here; you're about to generate the whole month using these same settings.


Part 2 — Generate the full month at once

6. Switch to Month view. Click Month (top-right toolbar). Use the ‹ › arrows to navigate to the month you want to print.

7. Select the days to include. This step is easy to miss but essential. Click in the white space inside the first day you want (e.g. the 1st), then drag across to the last day of the month and release. The selected cells turn light blue. This tells Quiltt exactly which days to include — and it's what lets you print the whole month in one batch instead of day by day.

Tip: Click an empty area inside the day cell, not on an event. Drag from the very first day through the last day (the 31st for July) so every day of the month is highlighted before you print.

8. Open Print and generate the PDF. Click the Print button. Because you're in Month view with the days selected, Quiltt builds a multi-page daily PDF — one page per day for every day in the month — on the paper size you chose in Part 1. Confirm the settings, then click Print to generate the file (e.g. Daily Calendar – July 2026.pdf).

9. Open and review the PDF. Click the Daily Calendar – [Month] [Year].pdf link to open it. You should see one page per day — e.g. 31 pages for July. Scroll through to confirm every day looks correct.


Part 3 — Print the whole month

Because the PDF is already built on a standard paper size, there's no resizing step — you print it directly.

  1. Load the matching paper — Put the paper you selected in Part 1 (Letter, Legal, or Tabloid) in the correct printer tray. Tabloid (11×17″) may need a specific tray or a printer that supports it.

  2. Open the print dialog — With the PDF open, click the printer icon or press Ctrl+P (Cmd+P on Mac).

  3. Set the paper size to match — Choose the same size in the printer dialog so it doesn't shrink or crop.

  4. Set scaling to Actual size — Choose Actual size (100%). Only use Fit to page if the printer's margins are clipping the edges.

  5. Match orientation — Set Landscape or Portrait to match how you built the pages in Part 1.

  6. Print all pages — Leave the range on All to print every day of the month in one job.

Tip: Do a test print of one page first to confirm the size, margins, and readability before running the whole month.


Quick reference — the whole flow

Events → Day view → Print → set look + paper size → Cancel → Month view → select all days (drag) → Print to PDF → print all pages at 100%
